The School is located on a historic campus in the heart of La Jolla, just 10 miles north of downtown San Diego. The Bishop's School seeks a Human Resources Coordinator with immediate start.

The Human Resources Associate (HRA) is a key member of a comprehensive human resources operation that offers organizational and personalized support and is known as a center of excellence. The HR associate plays an integral role in facilitating employee recruitment, hiring, and onboarding, is a first point of contact for the Office of Human Resources, and provides administrative support of the day to day work of the office including calendar management and interview scheduling, as well as departmental projects and initiatives. As a member of the HR team, the associate is instrumental in the cultivation of a positive and inclusive workplace culture and at all times models a level of professionalism and collegiality that supports that overarching goal in alignment with the mission, vision, and values of the School. 

This is a 12-month/year in-person position with some schedule flexibility during periods when school is not in session and limited flexibility to work from a remote location to accommodate personal needs.

Responsibilities Include:

Recruitment and Hiring

  • Develop expertise with the applicant tracking system (ATS) used by the School; train and support hiring teams to use the system to its fullest capabilities, and act as primary account contact working with the vendor to understand and implement enhanced capabilities and troubleshoot issues
  • Support the Director of People and Culture and respective hiring managers with the creation, update, and appropriate retention of position descriptions for each employee
  • Hold primary responsibility for posting open positions on the School’s website and other job boards. Develop expert-level knowledge of local and national recruiting resources, identifying appropriate channels to use for each search

Employee Onboarding

  • Ensure that all stages of the School’s pre-employment and onboarding processes are completed including required documentation in accordance with the set timeline; employment application, applicable background checks including LiveScan and DOJ, as well as prior educational employers and CA Commission on Teacher Credentialing (CTC) in accordance with SB848
  • Ensure that new hire information is correctly entered into the HRIS system to establish accurate personnel records
  • Communicate new employee information to IT to ensure that computer and phone equipment is ready and available by first date of employment
  • Communicate new employee information to communications to initiate production of business cards, employee ID and name tag, and community announcement 
  • As part of the hiring and onboarding process, serve as a reliable source of basic compensation and benefits information for candidates engaged in hiring conversations
  • Support the assistant director of HR with the delivery and tracking of required employee training, including but not limited to mandated reporter, harassment prevention, and WVPP training, and CPR certification
  • Support the director of people and culture with the development, planning and delivery of a comprehensive employee orientation program

Employee Relations 

  • Enthusiastically participate in the planning and execution of all HR-hosted presentations, community and external events, and other initiatives
  • Serve as a point of contact for employee questions and concerns, demonstrating care and concern and respecting and maintaining confidentiality, as needed, while connecting individuals with appropriate resources
  • Ensure that all employee experiences with the HR office are handled with a high level of professionalism and respect, offering a supportive process even in challenging circumstances

Data Management

  • Act at all times in accordance with all systems and processes in place to safeguard the security of all employee data. Immediately report any potential vulnerabilities and act quickly to resolve
  • Support the assistant director of HR with the maintenance of personnel files in compliance with all applicable state and federal guidelines; ensuring that files contain all required elements, and I-9 documentation and health-related information is retained separately
  • Support the ADHR in executing systems and processes to rotate files and destroy aging records in accordance with the School’s Records Retention Policy
  • Stay current with employment law relating to personnel file management and participate in an annual file audit to identify any potential gaps, issues, or needed policy revisions
  • Partner with communications and IT teams to develop intuitive notification systems to disseminate new and updated employee information as needed
  • Support the payroll manager with the annual collection of data to be entered into DASL

Administrative Support

  • Work with the DPC and hiring managers to build meaningful on-campus interview schedules, acting as host and tour guide, as needed
  • Support the DPC with calendar management as needed
  • Manage conference and event registration, travel arrangements and accommodations, as needed for the DPC
  • Oversee monthly reconciliation of the department credit card ensuring that all receipts are uploaded appropriately and in a timely manner

Offboarding

  • Proactively schedule exit conversations for all departing employees
  • Maintain a file of all information to be shared with employees at time of separation in compliance with state and federal guidelines and prepare an exit packet for each
  • Oversee the offboarding checklist ensuring that all School property is recovered prior to an employee’s departure
  • Provide timely notification to key departments triggering termination of system access and School email account according to set timeline

General

  • Maintain a welcoming environment and ensure that the HR Office is seen as a safe space and trusted resource available to all employees
  • Approach all responsibilities with a customer service orientation and demonstrated commitment to performing at the highest level
  • Ensure consistent application of and adherence to School policies, applicable legal guidelines and HR best practices across all responsibilities
  • Cultivate collegial relationships with all employees and other stakeholders
  • Engage in ongoing teambuilding efforts to cultivate a cohesive and high performing HR team
  • Engage in professional development and stay up to date with employment law and relevant regulatory changes, workplace culture trends, HR best practices, HRIS capabilities, and emerging technologies
  • Other duties as assigned.

Required Qualifications:

  • Bachelor’s degree
  • Minimum of 2 years of related experience
  • Specific interest in the field of HR; certification in progress or intent to pursue preferred
  • Proficiency with Google Workspace and aptitude for learning new technology
  • Familiarity with applicant tracking systems and job board posting preferred
  • Highly developed emotional intelligence with the ability to maintain a calm demeanor in difficult situations
  • Demonstrated ability to manage all responsibilities with an orientation toward providing exemplary “customer” service
  • Excellent written, verbal and interpersonal skills
  • Ability to attend to multiple projects effectively managing competing priorities
  • High level attention to detail and a commitment to accuracy in all areas of work
  • Commitment to maintaining strict confidentiality. Must understand confidentiality of relevant information in accordance with school policies, as well as other applicable local, state, and federal regulations
The anticipated compensation range for this position is $71,000 to $81,000 annually, based on experience.
